Limits and what happens when you hit one
Essential's five limits, and exactly what happens the moment you reach one.
The five limits
Essential is capped in five places. Pro and Team remove all five.
| Essential | Pro / Team | |
|---|---|---|
| Items | 100 | Unlimited |
| Folders | 5 | Unlimited |
| Secure vaults | 1 | Unlimited |
| Active reminders | 3 | Unlimited |
| Transcribed voice notes | 3 | Unlimited |
What happens when you hit one
Trying to save a 101st item, create a 6th folder, set up a 2nd vault, schedule a 4th reminder, or transcribe a 4th voice note doesn't fail silently and doesn't delete anything to make room. It simply stops that one new action and shows an upgrade prompt explaining which limit you hit.
If you end up over a limit
This can happen if you're on Pro or Team, save more than 100 items, and then cancel (or a payment fails and the subscription lapses) — you're moved back to Essential automatically, but you keep everything you saved. Every item stays fully visible and accessible. The only change is that you can't add new items until you're back under 100, either by removing some or by upgrading again.
The same rule applies to folders, vaults, reminders, and transcribed voice notes if you end up over any of those limits — nothing already there is ever touched.
